Privacy Policy

mapleserv · Last updated: March 2026

mapleserv is committed to protecting your personal information and your right to privacy. This policy explains how we collect, use, store, and protect your data in compliance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

1. Information We Collect

We collect information you provide directly when you create an account, complete your profile, post service requests, make bookings, or communicate with other users. This includes:

  • Account information: full name, email address, phone number (optional), and password (stored encrypted).
  • Profile information: city, service area, biography, qualifications, and experience.
  • Verification documents: government ID, certifications, police check records — stored securely and accessible only to you and platform administrators.
  • Booking and transaction data: service dates, booking details, and payment references.
  • Communications: messages sent through the platform's messaging system.
  • Usage data: how you navigate and interact with the platform.

We collect only the minimum information necessary to operate the platform and provide services to you.

2. How We Use Your Information

We use your information to:

  • Create and manage your account.
  • Connect service seekers with providers in their area.
  • Process and manage bookings and service requests.
  • Send platform notifications (booking confirmations, messages, updates).
  • Verify provider identities and credentials.
  • Improve platform features and user experience.
  • Detect and prevent fraud, abuse, and suspicious activity.
  • Comply with legal obligations.

By using mapleserv, you consent to the use of your data as described in this policy to operate, maintain, and improve the platform.

3. How We Store & Protect Your Data

We implement industry-standard security measures to protect your data:

  • All passwords are hashed and encrypted — we never store plain-text passwords.
  • Data is transmitted over HTTPS/TLS encrypted connections.
  • Sensitive documents are stored in secure, access-controlled storage and never publicly exposed.
  • Role-based access control ensures only authorized personnel can access sensitive data.
  • Personal contact information (phone numbers, exact addresses) is only revealed after a booking is confirmed.
  • Financial records and verification documents are accessible only to the account owner and administrators.

We retain your data for as long as your account is active or as required by law. You may request deletion at any time.

4. Location Data

mapleserv uses location information to power proximity-based search and matching:

  • We store only the necessary location data — city, region, or general coordinates.
  • Your live GPS location is never stored on our servers or exposed publicly.
  • Map markers represent approximate service areas, not exact addresses.
  • You can disable location sharing at any time through your browser settings or our privacy controls.
  • Exact addresses are only shared between confirmed booking parties.

5. Communication Data

Messages exchanged through the mapleserv platform are:

  • Stored securely and accessible only to the sender, recipient, and platform administrators for moderation purposes.
  • Subject to review if a safety report is filed.
  • Never shared with third parties for marketing purposes.

We may use anonymized, aggregated communication patterns to improve platform features, but never individual message content.

6. Cookies & Analytics

We may use cookies and analytics tools to:

  • Maintain your session and keep you logged in.
  • Understand how users interact with the platform.
  • Improve search, matching, and recommendation features.

You will be presented with a cookie consent banner on your first visit. You may accept all cookies or manage your preferences. Declining non-essential cookies will not affect core platform functionality.

7. Third-Party Services

We may use trusted third-party services to operate the platform, including:

  • Authentication and account management services.
  • Mapping and geolocation services.
  • Payment processing (future functionality — processed by PCI-compliant providers).
  • Email notification services.

These third parties are bound by their own privacy policies and data protection standards. We do not sell your personal data to any third party for advertising or marketing purposes.

8. Your Rights & Data Deletion

Under PIPEDA and applicable Canadian privacy law, you have the right to:

  • Access your personal information held by us.
  • Correct any inaccurate personal information.
  • Delete your account and personal data (subject to legal retention requirements).
  • Export a copy of your data.
  • Withdraw consent to optional data processing.

To exercise these rights, visit your Account Settings or contact us at privacy@mapleserv.ca. We will respond within 30 days.

9. Children's Privacy

mapleserv is not intended for users under the age of 18. We do not knowingly collect personal information from minors. If we become aware that we have collected data from a minor, we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users of material changes via email or platform notification. Continued use of the platform after changes constitutes acceptance of the updated policy.
